Done-for-you billing automation for freight brokers, forwarders & carriers

Your loads, billed.
Your money, sooner.

Freightfolio turns your pile of rate confirmations, BOLs, PODs, and exception documents into checked, billing-ready packets — plus a weekly report showing exactly what’s ready to invoice and what’s holding you up. No new software. No new hires.

2–3 weeks on your actual paperwork. Pilot fee credited toward setup if you continue.

See what you’d get

A real deliverable, before you pay anything.

This is the actual output format from a demo batch of 40 documents (sample data): an Excel report that opens on your action list — what’s ready to invoice, what’s blocked and why — plus a dashboard with the same picture.

Action list first

“Invoice these now” at the top, “blocked — needs attention” right below it, each with the plain-language reason and the recommended next step.

Every load accounted for

Each load shows its documents, amounts, and billing-readiness status — with every row traceable back to the source file it came from.

Exceptions, not mysteries

Missing PODs, rate mismatches, and date conflicts listed with severity — so a 15-minute chase replaces an afternoon of digging.

The problem

The invoice is good. The paperwork isn’t.

Missing or unsigned PODs are the single most common reason a good invoice sits unbilled. Most factors won’t fund a load without a signed POD — so the invoice waits, AR ages, cash tightens, and somebody spends the week calling drivers and digging through inboxes instead of moving freight.

Illustrative example — plug in your own numbers

40 loads delivered per week × 1 in 5 PODs missing on first pass = 8 chases/week
~15 minutes per chase (call, text, email, log it) = 2 hours/week
That’s a full workday every month spent chasing paper — before counting the days each invoice sits unbilled.
Cash view: on $500k of monthly credit sales, each extra day of DSO is roughly $16k of your cash sitting idle.

Illustrative figures, not promises or guarantees of results.

Invoices wait on paper

A delivered load with an unsigned POD is an invoice that usually can’t go out — and generally can’t be factored. Every missing signature is days of your cash sitting still.

Re-keying eats the week

Shipper, consignee, commodity, weight, dates — typed by hand from PDFs into spreadsheets and TMS fields. Hours per week of work a machine should do.

Exceptions hide in inboxes

Detention, lumper, and TONU receipts arrive as email attachments with no trail. When the packet doesn’t tie out, the invoice — and the money — stalls.

How it works

Three steps. Nothing to install.

1

Forward your documents

Your team emails rate confirmations, BOLs, PODs, and receipts to your dedicated docs@ address. That’s the entire change on your side — no software to install, nothing to learn.

2

We extract and check everything

We pull the fields from every document and check every packet before it counts as billing-ready. Low-confidence extractions get flagged for review — never silently passed through.

3

You invoice days earlier

Every load becomes one complete, tied-out packet. Each week you get a billing-readiness report: what’s ready to invoice, what’s blocked, and exactly why.

What’s in a billing-ready packet

  • Rate confirmationAgreed rate on file before the truck rolls
  • Bill of ladingSigned at pickup
  • Proof of deliverySigned at delivery — the one that goes missing
  • Exception docsDetention, lumper, and TONU receipts matched to the load
  • One load recordAll of it tied together, ready to invoice or factor

What we handle — and what stays with you

  • We handlePulling every field from every document, checking each packet, matching exceptions to loads, and flagging anything missing or off — in a daily exception list and the weekly report.
  • We don’tChase drivers or shippers for missing paperwork. The exception list tells your team exactly what’s missing, from whom, and for which load — so a chase is a two-minute email instead of an afternoon of detective work.
  • You handleForwarding documents to your docs@ address, and the chase list. Invoicing decisions stay yours — we tell you what’s ready and what’s blocked, you send the invoice.

Packages

One service. Three sizes.

Every package is done-for-you: we build it, check it, and run it. Not a DIY tool license — a finished back-office outcome.

  • Missing-document flagging as a daily exception list
  • Weekly billing-readiness Excel report
  • Email-forward intake — no new software

$1.50 per document over your plan’s volume — we move you to the next tier when it’s cheaper for you, and we’ll tell you when that is.

What counts as a document: one file = one document — a 12-page PDF rate con counts the same as a one-page POD. Most loads run 3–4 documents (rate con, BOL, POD, plus any exception receipts).

Annual prepay = 2 months free (~17% off). Monthly stays the default to keep the trial barrier low.

Add-ons: historical backfill quoted per project · TMS/QuickBooks export formatting quoted per integration.

The pilot

See it on your own paperwork first.

The pilot runs on your actual loads — not a demo, not sample data. At the end you get one live billing-readiness report built from your documents, and a go/no-go decision that’s entirely yours.

Your documents

We treat your paperwork like it’s ours.

You’re handing us your rates, your customers, and your margins. Here’s exactly how that works:

Yours only

Your documents are processed for your business and nobody else’s. Never sold, never shared, never used to train shared models.

Kept only as long as needed

Retention terms go in the service agreement up front. You can request deletion of your documents any time, and we confirm when it’s done.

No portals, no logins

Documents arrive by email to your dedicated docs@ address — nothing to install, no third-party accounts to manage, no new attack surface on your side.

FAQ

Fair questions, straight answers.

Why not just buy Docparser for $74/month?

You absolutely can — it’s a solid tool. The question is who builds the templates, who checks every extraction, and who chases the missing PODs. Docparser gives you software; we give you the finished outcome — checked packets and a weekly billing-readiness report — without adding to anyone’s plate. If you’ve got someone with ten free hours a week to run the tool, buy the tool.

Can we start smaller?

That’s what the pilot is: $500, 2–3 weeks, on your actual paperwork. It’s credited toward setup if you continue, so it works like a deposit, not a cost.

What if our document volume grows?

Overage is $1.50 per document beyond your plan’s volume, so nothing breaks. When the next tier becomes cheaper for you than overage, we move you up — and we’ll tell you when that is.

Is our data safe? These documents have our rates in them.

Fair question. Your documents are processed for your business only — never used to train shared models, never sold, never shared with anyone. Retention terms go in the service agreement, and you can request deletion any time.

What if something gets misread?

That’s why every packet is checked before it counts as billing-ready — low-confidence extractions get flagged for review instead of silently passed through. The pilot proves accuracy on your own documents before you pay for a month of service.

We don’t have time to onboard something new.

That’s exactly why there’s nothing to install and no system to switch. Your team forwards documents to an email address — that’s the whole change on your side. Onboarding takes about two hours of your time total: first findings land within 7–10 business days, and the complete pilot report is in your hands by the end of week three.

What if it doesn’t work — can we get out?

Then we part ways and you keep everything: every report and all structured data we produced, exported to Excel. Monthly plans cancel any time. The pilot itself is built as the exit ramp — $500, a few weeks, and the go/no-go call is yours.

Do you chase missing PODs for us?

We flag them — precisely. Every morning your exception list shows exactly which documents are missing, from whom, and for which load, so the chase is a two-minute email instead of an afternoon of digging. The actual follow-up stays with your team, because only you have the driver and shipper relationships.

Can you guarantee we’ll invoice X days faster?

No — and you should distrust anyone who guarantees that before seeing your paperwork. What the pilot does is measure your actual before-and-after on your own loads, so you decide with real numbers.
